Position Overview

 

We’re looking for a proactive and experienced Executive Assistant – Manufacturing & Engineering to provide strategic, operational, and administrative support to a senior leader. This role goes far beyond traditional EA duties—acting as a trusted partner to drive execution, streamline processes, and enhance business performance across multiple manufacturing sites. 

 

The ideal candidate is highly organized, analytical, and tech-savvy, with a passion for turning data into insights and strategy into action. This is a unique opportunity for someone eager to grow into an operational leadership role while working closely with an executive who prioritizes mentorship and professional development.

Key Responsibilities

 

Executive Support & Administration 

  • Manage calendars, meetings, travel, expenses, and communications with precision and discretion. 
  • Serve as a trusted liaison in meetings and with internal/external stakeholders. 
  • Anticipate needs and proactively advance priorities, especially when the executive is traveling or unavailable. 

 

Operations & Data Management 

  • Develop clear, concise weekly reports highlighting key operational KPIs (e.g., safety, quality, cost, performance). 
  • Consolidate data from multiple sources into executive-ready dashboards, presentations, and scorecards using Excel, PowerPoint, and Power BI. 
  • Support performance tracking across plants, including audits, safety metrics, and training compliance. 

 

Strategic Projects & Execution 

  • Collaborate on strategic initiatives, including AI and data-driven projects. 
  • Translate high-level strategies into actionable plans and ensure timely execution. 
  • Drive accountability by coordinating cross-functional efforts and tracking milestones. 
  • Facilitate communication between corporate leadership and plant operations. 

 

Leadership Partnering 

  • Represent the executive confidently in discussions and decision-making when needed. 
  • Act as a thought partner to help prioritize, organize, and communicate strategic objectives. 
  • Travel to manufacturing sites (~10%) to build relationships and gain firsthand operational insights. 

Minimum Qualifications

 

  • Bachelor’s degree in business, liberal arts, science, or related field (engineering background a plus). 
  • 5+ years experience.
  • Advanced proficiency in Microsoft Office and Power BI; skilled at turning complex data into actionable insights. 
  • Tech-savvy with a strong grasp of productivity and IT tools. 
  • Proven ability to take initiative, think strategically, and manage projects from start to finish. 
  • Excellent interpersonal and communication skills; able to influence and collaborate across all levels. 
  • Growth mindset with a desire to expand into broader operational responsibilities. 
  • Familiarity with the Four Disciplines of Execution (4DX) is a plus. 
  • Experience with SAP is beneficial but not required.
